Privacy Policy

Last updated: 28 July 2026

This policy explains how SY Design Studio Ltd ("we", "us", "our") collects, uses and protects personal data when you visit this website or contact us through it.

Who We Are

SY Design Studio Ltd (company number 14020779) is the data controller for personal data collected through this website. Our correspondence address is 49 Durham Avenue, Hounslow, TW5 0HG, United Kingdom (post only — this is not a public office). You can contact us by email at info@sydesignstudio.co.uk or by phone on 07859 431227.

What Personal Data We Collect

We only collect personal data that you choose to submit to us, principally through the enquiry and quotation forms on our homepage and Contact page. This may include:

  • Your name
  • Your email address
  • Your telephone number
  • Your postcode or borough
  • The type of project you are enquiring about
  • Any further details you choose to include in your message

We do not currently offer a file or drawing upload facility on this website, and we do not use analytics or advertising tracking software, so we do not collect browsing behaviour data about visitors beyond what is described under Cookies below.

Why We Collect It and Our Lawful Basis

We use the information you submit to respond to your enquiry, discuss your project and, where appropriate, provide a quotation. Our lawful basis for this processing is legitimate interests — specifically, our interest in responding to enquiries that you have chosen to send us. We do not use the information you submit for marketing purposes, and we do not share it with third parties for their own marketing.

How Enquiries Are Handled

When you submit an enquiry or quotation form, the information is sent securely to our own website's server, which carries out basic checks to reduce spam before sending two emails: a notification to our own mailbox, and an automatic confirmation back to you. These emails are sent through Google Workspace, which hosts our business email service. We do not store form submissions in a separate database; the information exists as the emails generated by this process.

Because Google Workspace is provided by Google, some processing of your data may take place on Google's infrastructure, which can be located outside the United Kingdom. Google provides its own safeguards for this under UK and EU data protection law.

Who We Share Data With

We do not sell or rent your personal data. It is shared only with Google Workspace, as our email provider, in order to deliver the emails described above. We do not currently use a customer relationship management (CRM) system, marketing platform, or advertising network in connection with this website.

Data Retention

We retain enquiry information for as long as reasonably necessary to respond to your enquiry and provide a quotation, and for a limited period afterwards for our business and accounting records. We do not retain personal data indefinitely, and we periodically review and remove information that is no longer needed.

Cookies

This website does not use analytics, advertising or marketing cookies, and no cookie consent banner is shown because no non-essential cookies are set.

When you submit the enquiry form, our server temporarily sets a strictly necessary session cookie, used only to prevent the form from being submitted repeatedly in a short space of time as a basic spam-prevention measure. This cookie does not track your browsing activity, is not used for marketing or analytics, and is exempt from consent requirements under UK cookie law because it is strictly necessary for the form to function correctly.

Fonts and Other Website Resources

This website loads typefaces from Google Fonts. When you visit any page, your browser makes a direct request to Google's servers to download these fonts, which can involve your device's IP address being visible to Google. We do not use Google Analytics, Google Maps, embedded third-party videos, or any advertising pixels on this website.

Your Rights

Under UK data protection law, you have rights that may include the right to:

  • Ask us what personal data we hold about you and receive a copy of it
  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data, where this applies
  • Ask us to restrict how we use your data
  • Object to our use of your data on grounds relating to your particular situation
  • Ask for your data to be provided to you in a portable format, where this applies

To exercise any of these rights, please contact us using the details above. We will respond to genuine requests within the timescales required by law.

Complaints

If you have concerns about how we handle your personal data, please contact us first so we can try to resolve this directly. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent regulator for data protection:
